This Policy explains what personal data DeepRound processes, why it is used, who receives it, how long it is kept, and the choices available to you.

Who controls your data

The data controller for the DeepRound Service is Kirill Osadchii, an individual based in Cyprus and operating DeepRound. You can contact the controller at [email protected].

This Policy applies to the DeepRound marketing website, user accounts, interview practice service, transcription, evaluations, reports, support, and related operations. Our merchant-of-record and payment service providers may process buyer and payment data as independent controllers for payment, tax, fraud-prevention, and compliance purposes.

Data we collect

Depending on how you use DeepRound, we process the following categories:

  • Account data: your name, email address, profile image, sign-in details, and information associated with your DeepRound account.
  • Interview data: the interviews and questions you select, typed answers or voice transcripts, progress, evaluations, scores, and reports.
  • Voice data: audio you choose to provide for transcription. DeepRound does not store a copy of the raw audio in its own systems.
  • Purchase data: your purchase, transaction and payment status, amount, currency, billing country, refunds, and disputes. We do not receive or store your full card number.
  • Technical and security data: IP address, browser and device information, service activity, logs, and information used to keep the Service secure and reliable.
  • Analytics and advertising data: website usage, campaign, and conversion information. Optional analytics and advertising technologies are used only with your consent where required.
  • Support data: messages, contact details, attachments, and information you choose to provide when asking for help or exercising a privacy right.

Please do not include health information, political or religious views, biometric identifiers, confidential employer information, trade secrets, credentials, or another person's personal data in an interview answer unless strictly necessary and lawful.

Where data comes from

We obtain personal data:

  • directly from you when you use the Service, speak, type, purchase, or contact us;
  • from an identity provider when you use third-party sign-in;
  • from payment and commerce providers when you make or dispute a purchase;
  • automatically from your browser, device, and interactions with the Service;
  • from providers that help us host, secure, monitor, and support the Service.

Why we use data and our legal bases

  • Provide the Service and perform our contract: authenticate you, create and resume interview attempts, transcribe answers, generate evaluations and reports, maintain purchased access, and provide support.
  • Our legitimate interests: secure the Service, prevent abuse and fraud, diagnose errors, understand aggregate performance and reliability, defend legal claims, and improve interview quality where those interests are not overridden by your rights.
  • Legal obligations: maintain required transaction records, respond to lawful requests, meet tax and accounting duties, and comply with consumer, data-protection, and sanctions laws.
  • Consent: where the law requires consent, such as optional non-essential cookies or direct marketing. You can withdraw consent without affecting processing already carried out lawfully.

Browser permission to use your microphone controls device access. Voice input remains optional; you can type an answer instead.

Transcription and AI evaluation

If you choose voice input, an AI transcription provider processes the audio to create a transcript. When you submit an answer, an AI evaluation provider processes the answer and relevant interview context to produce feedback and a report. We store the transcript and evaluation, but not the raw audio.

AI assessments are provided for practice and do not produce legal effects or similarly significant decisions about you. DeepRound does not make hiring, credit, education, insurance, or eligibility decisions based on them.

Who receives data

We disclose personal data only as needed to the following categories of recipients:

  • AI transcription and evaluation providers: audio, answers, transcripts, and relevant interview context needed to provide transcription and feedback.
  • Identity providers: account and sign-in information when you choose a third-party sign-in method.
  • Cloud hosting and infrastructure providers: account, interview, and technical data needed to host and operate the Service.
  • Security, monitoring, and support providers: relevant technical or support information needed to protect the Service, resolve errors, and assist users.
  • Analytics and advertising providers: usage, campaign, and conversion data, where you have consented when consent is required.
  • Payment and commerce providers: contact, purchase, and transaction information needed for checkout, payments, tax, invoicing, fraud prevention, refunds, and buyer support. Some of these providers act as independent controllers.

We may also disclose data to professional advisers, courts, regulators, or law enforcement where reasonably necessary and legally permitted, or in connection with a sale, financing, restructuring, or transfer of the Service subject to appropriate safeguards. We do not sell personal data for money. Optional advertising measurement is disabled unless you consent. You can contact us for information about the specific providers we use.

International data transfers

We host the core Service in the European Economic Area. Some providers or their subprocessors may process data in the United States or other countries. Where European data-protection law requires it, transfers will rely on an adequacy decision, Standard Contractual Clauses, or another lawful safeguard, together with supplementary measures where appropriate.

How long we keep data

  • Account and interview data: retained while your account exists, until you delete the account or request deletion, unless a limited exception applies.
  • Raw audio: not stored by DeepRound. A transcription provider may process it temporarily under its contractual retention controls.
  • Sign-in sessions: kept for up to 30 days.
  • Technical and security data: kept only as long as reasonably necessary to operate and protect the Service, resolve errors, and prevent abuse.
  • Analytics and advertising measurement: retained according to the providers' settings and policies.
  • Account deletion: data is removed from active systems as soon as reasonably practicable and ordinarily within 30 days. Backup copies may remain for up to 30 additional days.
  • Purchases, disputes, fraud, and legal records: retained for the period required by applicable tax, accounting, consumer, limitation, or compliance laws.

Cookies and similar technologies

DeepRound uses necessary cookies and similar storage for sign-in, security, session continuity, and preferences. These are required for the Service to function and cannot be disabled through the consent banner.

Optional analytics and advertising technologies are enabled only with your consent where required. You can reject them or change your choice at any time using the Cookie settings link in the footer.

Your privacy rights

Depending on your location, you may have the right to ask us to access, correct, delete, restrict, or provide a portable copy of your personal data, and to object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it.

You may request deletion of your DeepRound account and associated interviews, transcripts, evaluations, and reports using the privacy contact below. We may ask for reasonable verification before acting on a request. We will not discriminate against you for exercising a privacy right.

If you are in the EEA, you may complain to the data-protection authority where you live, work, or believe an infringement occurred. In Cyprus, you may contact the Office of the Commissioner for Personal Data Protection.

Security

We use appropriate technical and organizational measures designed to protect personal data, including encryption, access controls, monitoring, and resilience measures. No internet service can guarantee absolute security. Please contact us promptly if you believe your account or data has been compromised.

Children

DeepRound is not intended for anyone under 18, and we do not knowingly offer accounts or paid interview services to children. If you believe a person under 18 has provided personal data, contact us so we can investigate and delete it where appropriate.

Changes to this Policy

We may update this Policy when the Service, providers, processing, or law changes. We will post the current version and effective date here. If a change materially affects your privacy rights, we will provide additional notice through the Service or by email where required.
